Privacy Policy

This Privacy Policy explains how MP3Transcript collects, uses, stores, and deletes information when you use the website, transcription tools, private Workspace, account features, and payment flows. It should be read alongside the Terms of Service.

Information We Process

Account and support information

We may process your name, email address, authentication provider identifiers, account settings, support messages, and the technical records needed to secure your session and operate the service.

Source media and Project content

When you create a Project, we process the audio or video you upload, record, or import from a supported direct public media link. We also process generated transcripts, transcript revisions, speaker labels, timestamps, summaries, content-template outputs, exports, processing status, and Project deletion records.

The original upload or imported media is a temporary processing object. Before transcription, we convert it to a storage-optimized private MP3 used for playback and later processing, then delete the original object after the conversion is safely committed. This means an uploaded video is not retained as a playable video and cannot be recovered from the Project after conversion.

Do not submit media or personal information that you do not have the right to process.

Usage and device information

We may process IP-derived security signals, account, device, or browser identifiers used to enforce the shared Guest/Free transcription boundary, request logs, error codes, browser type, operating system, referral and campaign data, and product events such as tool view, input method, transcription completion, generation, and export.

Product analytics are designed not to include source URLs, signed storage URLs, filenames, transcript text, uploaded media, claim secrets, cookies, or storage credentials.

Billing information

Payments are handled by the payment provider selected at checkout. We receive transaction, product, amount, currency, status, and account references needed to grant allowances and manage subscriptions. We do not store your full payment card number.

How We Use Information

We use information to:

  • Create and secure accounts, Guest sessions, Projects, and private Workspaces.
  • Upload, import, normalize, transcribe, summarize, and generate the fixed content templates you request.
  • Enforce shared Free transcription limits and reserve or settle paid transcription minutes and AI generation allowances.
  • Provide source playback, transcript editing, export, retention, and Project deletion.
  • Prevent abuse, enforce file and rate limits, investigate failures, and protect the service.
  • Process payments, subscriptions, renewals, add-on allowances, and support requests.
  • Measure product reliability and conversion using restricted analytics events.

Service Providers

MP3Transcript uses service providers to operate parts of the workflow. Depending on the active configuration, these may include:

  • Cloudflare for application delivery, Workers, Workflows, private object storage, and database infrastructure.
  • Replicate or another configured AI provider for transcription, summarization, or fixed content generation.
  • Authentication providers such as Google or GitHub when you choose those sign-in methods.
  • Payment providers such as Stripe, Creem, PayPal, Alipay, or WeChat when enabled and selected.
  • Email, analytics, and operational monitoring providers configured for the service.

Providers process information under their own terms and privacy practices. We send only the information needed for the requested or operational function.

Storage, Security, and Public Links

Source media is stored in private object storage and is not public by default. Time-limited signed URLs may be issued to an authorized browser or processing provider. A signed URL should be treated as sensitive while valid.

For supported Public Link imports, the original media URL is encrypted before being stored with the processing job and is cleared from the job snapshot at a terminal success or failure state. Platform pages, login-only, private, paid, DRM-protected, and live links are not supported.

No online service can guarantee absolute security. We use access controls, short-lived credentials, retention limits, and deletion workflows to reduce exposure.

Retention and Deletion

  • Guest Projects are scheduled for automatic deletion after 24 hours.
  • Free Source Assets are currently retained for 7 days and text artifacts for 30 days.
  • Creator and Pro Source Assets are currently retained for 30 days; text retention follows the active subscription period.
  • Permanent Add-on allowances do not change the Project's plan or retention window.
  • Operational, payment, fraud-prevention, and legal records may be kept longer when needed for security, accounting, dispute handling, or legal obligations.

Deleting a Project removes access immediately and starts cleanup of source media, transcript revisions, summaries, content artifacts, and related private objects. Backups and provider logs may take additional time to age out under their own retention cycles.

Cookies and Local Storage

We use essential cookies for authentication, Guest sessions, locale selection, and security. Browser storage may hold recording checkpoints, interface preferences, campaign attribution, and local analytics deduplication state. Disabling essential storage may prevent account, upload, recording recovery, or Workspace features from working.

Analytics or marketing cookies are used only when the corresponding provider is configured and applicable consent requirements are met.

Your Choices and Requests

You may update available account information, delete Projects, cancel subscriptions through supported account controls, and contact us to request access, correction, deletion, or other privacy rights that apply in your jurisdiction. We may need to verify your identity and authority before acting.

Children

MP3Transcript is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has submitted information, contact us.

International Processing and Changes

Service providers may process information in countries other than your own. Privacy protections can differ by location. We may update this Policy as the product, providers, or legal requirements change; the updated date will appear at the top.
